Job Summary

We are looking for an Associate – TMS & Logistics Operations to manage and support Transportation Management System (TMS) operations, logistics processes, transporter coordination, inventory management, and system improvements.

The role will involve working with internal teams, transporters, SAP/ERP teams, TMS service providers, and business stakeholders to improve logistics efficiency, ensure data accuracy, maintain compliance, and support continuous process improvement.

Key Responsibilities

Logistics & Data Management

• Provide data-driven insights to stakeholders for forward and return journeys.
• Monitor transportation data and identify opportunities for process and cost optimization.
• Ensure PODs are available in TMS for invoices assigned to transporters and highlight exceptions.
• Verify transporter LR details and ensure accurate information in TMS.
• Monitor invoicing and e-waybill compliance.
• Cancel DNs in TMS as per SAP/LEA requirements.
• Create Return IDs for defective articles and stock transfers.
• Update product and LC price information in TMS based on SAP.
• Add new products from SAP into the system.

Packing Material & Inventory Management

• Monitor packing material inventory across multiple locations.
• Ensure accurate inventory tracking and maintain optimum inventory levels.
• Highlight packing material shortages or inventory depletion to relevant stakeholders.
• Verify that packing material issued to floor teams matches the approved indent quantity.
• Ensure Packaging Material Management Module implementation at new sites before go-live.
• Support inventory and order management of packing materials across the network.

Transporter Management

• Monitor transporter APIs such as Track API and POD API.
• Coordinate transporter onboarding and system setup.
• Change or cancel transporter LRs based on revised transporter assignments.
• Resolve transporter-related issues including LR generation, consignee address, and PIN-code issues.
• Ensure transporter TAT is aligned with agreed transporter contracts.
• Monitor automatic transporter assignment and ensure the defined logic is working correctly.
• Update new PIN codes and correct inaccurate TMS data.
• Ensure security gate Time-In and Time-Out information is accurately captured.
• Verify UFO information is correctly outwarded by the system.
• Update transporter rate cards based on new contracts.

Support & Continuous Improvement

• Coordinate weekly meetings with the TMS team to discuss bugs, issues, and improvements.
• Communicate TMS and Cleartax downtime to relevant users and stakeholders.
• Support stores with packing list uploads and other TMS-related issues.
• Provide end-to-end support for process improvement and automation projects.
• Identify opportunities to improve logistics processes, system efficiency, and operational performance.

• TMS & System Operations

  • Manage day-to-day TMS operations and system-related activities.
  • Upgrade and optimize the TMS based on business requirements in coordination with the service provider.
  • Ensure accurate and compliant usage of TMS and inventory management modules.
  • Monitor TMS issues, bugs, downtime, and coordinate with the TMS team for resolution.
  • Create and manage user IDs, access rights, password resets, and user support.
  • Support new site/location implementation and ensure TMS modules are ready before go-live.
  • Create and update SOPs based on process changes.
  • Conduct refresher training for TMS users and stores.

Qualification & Skills

• Master's degree in Supply Chain Management, Logistics, Business Administration, or a related field.
• Minimum 2 years of experience in logistics, supply chain, transportation, or inventory management.
• Strong understanding of TMS and SAP/ERP systems.
• Good knowledge of MS Excel and PowerPoint.
• Knowledge of Power BI is an added advantage.
• Strong analytical and problem-solving skills.
• Good communication and stakeholder management skills.
• Ability to coordinate with multiple internal and external stakeholders.
• Experience in transporter and inventory management is preferred.
• Prior TMS experience is an added advantage.
